HACCP software for a small food business has one job before any other: turn the plan a competent person wrote into the checks a kitchen actually does every day, with the record made at the moment of the check rather than filled in from memory at close. Size the plan as checks and records before you write it
Four critical control points checked three times a day, six days a week, is a known number of checks per day, records per week and minutes spent monitoring. The HACCP plan template tool on this site prints those figures from your own counts, so the plan is written at a monitoring load the kitchen can sustain rather than one it will quietly stop doing in week three.
Make the record at the check, against the unit and the day
A fridge reading written into a log at close is a memory, not a record. Software that puts the check in front of the person on the phone at the time it is due, and stores the reading against the unit and the service day with who took it, is the whole difference between a HACCP plan and a HACCP binder. What should HACCP software do that a paper binder does not?
Put the check in front of the right person when it is due, record the reading with who took it and when, flag the reading that is out of limit and record the corrective action, and produce the whole record for a date range when the inspector asks. A binder does none of those without somebody remembering to.
